Case study / 01FIINBRO mortgage operations

ORION

FIINBRO's controlled operating platform for mortgage intake and document-intensive operations.

Evolium and FIINBRO developed ORION to connect workflow design, operational software, governed data, WhatsApp communication, human-reviewed AI, noCRM integration, bank-form preparation, and business intelligence.

ORION is a private FIINBRO platform. This public case study excludes customer data, internal URLs, production identifiers, credentials, and proprietary logic.

Operating context

Financial operations depend on documents, decisions, handoffs, and evidence.

FIINBRO needed a controlled operating layer around mortgage leads, client intake, document collection, bank-application preparation, noCRM activity, and management reporting across multiple offices.

The work required more than a single automation. Each stage had different data requirements, permissions, failure modes, and human responsibilities.

Current program status: ORION is a working beta. Its end-to-end operating chain has been proven on a real case, while the formal production-readiness gate remains open.

Original fragmentation

The bottleneck was the system between the systems.

Information moved through multiple channels and tools. Documents could arrive separately from the case context. Review status, versions, and next actions were difficult to see as one operating picture.

System goals

Create one controlled flow from intake to operational visibility.

01

Unify case context

Connect communication, documents, structured data, decisions, and next actions around the same work item.

02

Make review explicit

Separate machine assistance from accountable human validation and approval.

03

Preserve evidence

Keep sources, versions, status changes, and review activity available for operational explanation.

04

Improve management visibility

Turn workflow activity into reliable information about progress, exceptions, and capacity.

Workflow transformation

A governed sequence, not a collection of features.

ORION organizes each capability around the work’s real progression. AI participates where it can assist; people remain responsible where judgment, exception resolution, and approval matter.

  1. 01

    Mortgage intake and WhatsApp guidance

A structured, WhatsApp-first entry point captures client context and guides the conversation needed to resolve ambiguity.

  2. 02

    Document collection

Required materials are requested, received, organized, and associated with the correct case and version.

  3. 03

    Validation and human review

Completeness, consistency, and policy checks direct uncertain or exceptional items to a responsible reviewer.

  4. 04

    AI-assisted processing

AI supports classification, extraction, comparison, and drafting within bounded tasks and review rules.

  5. 05

    Bank-form preparation

Approved information is mapped into the required forms without making the system the final accountable decision-maker.

  6. 06

    noCRM integration

Case state, approved data, communications, and next actions remain connected to FIINBRO's customer operating record.

  7. 07

    Operational reporting

Leaders see workflow status, aging, exceptions, handoffs, and unresolved work from governed operational data.

  8. 08

    Multi-office visibility

Shared workflow definitions create consistent oversight while preserving appropriate permissions and local responsibility.

Control architecture

Operational intelligence with a human chain of accountability.

Human control

Reviewers approve consequential outputs, resolve exceptions, and retain authority over the operating decision.

Auditability

Material actions, source references, status changes, reviews, and approvals are designed to leave an interpretable record.

Versioning

Documents, extracted data, prepared outputs, and workflow state are associated with explicit versions rather than silently overwritten.

Exception handling

Uncertain, incomplete, conflicting, or failed work enters a managed queue with ownership and a recovery path.

Infrastructure and engineering discipline

A system is only useful if it can be changed, observed, and recovered.

ORION’s engineering approach treats integrations, data contracts, permissions, logging, errors, review states, and deployment practices as product behavior - not back-office concerns.
